Events and Administrative Assistant, Helsinki

Finn Church Aid (FCA) is looking for Events and Administrative Assistant to work as part of the Network for Religious and Traditional Peacemakers (NRTP) team in Helsinki. In this role, the position holder provides assistance for the NRTP secretariat regarding events planning and reporting support and support to effective administration within the Network (travel arrangements, logistical support, processing of travel claims, invoices). This is an entry level position demanding high skill set for office work, communication, and problem solving. 

Key tasks

  • Coordinate or support logistical arrangements, administration and finances of events (such as workshops, consultation, dialogue processes and conferences)
  • Support travel arrangements, logistical support, processing of travel claims, invoices, filing of documents 
  • Assist NRTP staff in other event planning and implementation, as need arises. 
  • To supports day-to-day financial procedures, with focus on invoicing and reporting, in collaboration with project staff and finance staff.
  • Under close supervision, ensuring that the relevant donor and internal requirements related to finances and administration of the grant/other funding are met and provides logistical advice and support to staff, partners and stakeholders. 
  • Support adequate administrative and financial management ensuring smooth running of project administration and finances, in collaboration with project staff. 
  • Establish and develop administrative systems and procedures as need arises.
  • Establish/coordinate a mechanism for funds transfers to partners/small grant recipients and reporting procedures for the used funds.
  • Support the preparation of official and adhoc donor and management reports.

Required skills and experience

  • Good command of Finnish and English, other language skills are asset
  • Minimum Bachelor’s degree 
  • Professional experience in events planning, event logistics,   project support and/or assisting on financial and administrative matters
  • Ability to adapt to a new working environments in international settings, achieving results with multiple priorities and deadlines
  • Organizational skills, attention to detail and ability to work both independently and collaboratively with colleagues across the organisation
  • Solid, contemporary IT skills, including for example MS Office applications, financial and accounting software
  • Excellent communication and inter-personal skills.  

The position will be filled as soon as possible and it is a fixed-term employment until 30th June 2025, with six-month probation period. The compensation is based on FCA salary scale and the candidate’s level of experience. Salary scale for this position is 2824,20 – 3132,29 € / month.
